Terms & Conditions

Tutoring Terms & Conditions

1. Booking

Tutoring sessions are arranged with the parent or legal carer. A booking is confirmed once the agreed arrangements have been accepted.

Lessons are booked for a specific date and time. The tutor will be available and ready to teach from the agreed start time.

Sessions start and finish at the agreed times. The session fee is based on the time reserved for the student, rather than the actual time the student is present.

For example, a lesson booked from 16:30 – 17:30 remains a 60-minute booking. If the student arrives at 16:45, the lesson will normally still finish at 17:30 and the full 60-minute fee remains payable.

2. Fees and payment

Payment is due on the day.

Lessons may be suspended where payment is overdue.

Any agreed block-booking or prepaid sessions are subject to the same cancellation and attendance policy.

3. Cancellation and missed sessions

At least 24 hours' notice is required to cancel or reschedule a lesson.

  • Cancellations with 24 hours or more notice can normally be rescheduled without charge, subject to availability.
  • Cancellations with less than 24 hours' notice may be charged at the full session rate.
  • Missed sessions without notice are charged at the full session rate.

Flexibility may be offered in exceptional circumstances at the tutor's discretion.

4. Punctuality

Students are expected to arrive promptly and be ready to begin at the scheduled time.

Late arrival by the student:

  • Does not reduce the session fee.
  • Does not normally extend the scheduled finish time.
  • May result in less tuition being received during the booked session.

This ensures that late arrival does not impact subsequent students or the tutor's other commitments.

5. Student Expectations

Students are expected to:

  • Attend on time and be prepared.
  • Bring any required books, coursework or learning materials.
  • Participate positively during lessons.
  • Complete agreed preparation or homework where appropriate.
  • Treat the tutor and the learning environment with respect.

6. Tutor Cancellations

If the tutor needs to cancel a lesson, reasonable notice will be provided wherever possible. The lesson will be rescheduled at a mutually convenient time or, where this is not possible, the client will receive a full credit or refund.

7. Academic Progress

The tutor will provide appropriate teaching, guidance and preparation based on the student's needs and agreed objectives. However, specific examination results or grades cannot be guaranteed and will depend on the student's attendance, effort, preparation and independent study.

8. Safeguarding

The tutor holds a current Enhanced DBS check and is committed to maintaining a safe, secure and supportive environment for all students.

For online lessons, a parent, legal carer or a designated responsible adult must remain on the premises (or within the immediate vicinity of the student) for the entire duration of the session.

Any safeguarding or welfare concerns will be handled promptly in accordance with relevant legal guidelines and reported to appropriate authorities if required.

9. Ending tutoring

Either party may end the tutoring arrangement at any time by providing at least 7 days' written notice (via email).

Any outstanding sessions already delivered must be paid for in full. Any prepaid sessions remaining after the notice period has been satisfied will be refunded to the client.
